Collaborate with your team using organizations, roles, invitations, and seat management

Organizations

Organizations let teams collaborate on documentation projects with role-based access control. Organizations are available on Pro and Enterprise plans.

Creating an Organization

  1. Go to your dashboard
  2. Click Organizations in the sidebar
  3. Click Create Organization
  4. Enter a name and optional description

The person who creates the organization automatically becomes the Owner.

Roles

Each organization member has one of three roles:

OwnerFull access. Manage billing, members, roles, and all projects. Delete the organization. One owner per org.
AdminManage members and projects. Cannot change billing or delete the organization.
MemberView and deploy to assigned projects. Cannot manage members or billing.

Ownership can be transferred to another member from Organization Settings > General.

Inviting Members

Open the Organization

Go to Organizations > Your Org > Members.

Send an Invitation

Click Invite Member, enter their email address, and choose a role (Admin or Member).

Acceptance

The invitee receives an email with a link to accept the invitation. They must have a Specra account (or create one) to join.

Pending invitations count toward your seat usage. You can cancel pending invitations from the Members page.

Seat Management

Your plan determines how many seats are included and how much extra seats cost:

Buying Extra Seats

If you need more seats than your plan includes:

  1. Go to Organization Settings > Billing
  2. Click Add Seats
  3. Choose how many additional seats you need
  4. Extra seats are billed monthly on top of your plan price
Tip
Extra seat charges are prorated. If you add a seat mid-cycle, you only pay for the remaining days in that billing period.

Removing Members

Admins and Owners can remove members from Organization > Members. Removing a member frees up a seat immediately.

Organization Projects

Projects can belong to an organization rather than an individual user. All organization members with appropriate permissions can access organization projects.

To move a personal project into an organization:

  1. Go to Project Settings > General
  2. Under Transfer Project, select the target organization
  3. Confirm the transfer
Warning
Transferring a project to an organization is irreversible from the dashboard. Contact support if you need to reverse it.
